What should an AI search analytics setup report so you can defend the budget to leadership
The reports leadership will accept for AI search spend: visibility, citations, crawler access, AI-referred traffic and conversions, and which tools can produce them.
Leadership does not fund "being mentioned by ChatGPT". It funds outcomes it can see on a chart next to other channels. So the question is not which dashboard looks nicest. It is whether your setup can answer five questions in a row: are we visible, where does the answer come from, can the AI systems actually reach our pages, does any of it send people, and do those people convert.
Most AI search tools only answer the first question. That is why budget conversations stall. Below is what a defensible report contains, and which tools can actually produce each part.
The five sections of a report leadership will accept
1. Visibility on a fixed prompt set
Pick a stable panel of buyer prompts, grouped by topic and intent, and report visibility score, share of voice against named competitors, and position in the answer over time. The panel must stay fixed, otherwise a trend line is just a change in what you measured. Add a second cut by country if you sell in more than one market.
This is the part every tracker does. It is necessary and it is not enough, because visibility alone has no price attached.
2. Citations: where the answers come from
Report which of your pages and which third-party domains get cited for your prompts. This turns a vague "we are not showing up" into a list: a competitor review page, a Reddit thread, a YouTube video, an outdated page of yours. It also shows which content investments are earning citations and which are not.
3. Crawler access
If GPTBot, OAI-SearchBot, ClaudeBot or PerplexityBot hit errors on your site, no amount of content spend helps. A report that shows crawl activity per page, errors, and which crawled pages go on to get cited is the cheapest way to find budget that is currently wasted. Very few tools show this, because it requires server or CDN logs rather than prompt sampling.
4. AI-referred traffic
Report visits from ChatGPT, Perplexity, Gemini, Claude, Copilot and others as their own segment. Google's own AI features sit inside Search Console data and are harder to separate, so say plainly which numbers are measured and which are estimated.
5. Conversions
This is the line that gets budget approved. Sessions from AI sources, tied to signups, demos or revenue, next to the same numbers for organic and paid. If the volume is small, say so. A small, honest number with a growth trend defends a modest budget far better than an inflated one.
What to leave out
Leave out vanity totals such as "mentions this month" without a prompt panel behind them. Leave out claims that AI search will replace Google by a date. And do not report a figure you cannot reproduce next month. Leadership remembers the first number that falls apart.
How the main options cover the five sections
| Tool | Visibility | Citations | Crawler logs | AI traffic and conversions | Content workflow |
|---|---|---|---|---|---|
| Promptwatch | Yes | Page and domain level, Reddit, YouTube | Yes, from Professional | Yes | Yes |
| AthenaHQ | Yes, GEO score | Yes | Not a headline feature | Google Analytics connection listed | Action Center and content agent |
| Scrunch AI | Yes | Yes | AI agent and bot traffic reporting | Not a headline feature | AXP serves optimized pages to crawlers |
| Profound | Yes | Yes | Agent Analytics | Enterprise only | Marketing agents |

Where Promptwatch fits
Promptwatch is the only option in the table that covers all five sections in one workspace. Visibility dashboards show Visibility Score, Share of Voice, Sentiment and Position in Answer. Citation analytics goes down to page and domain level. Agent Analytics reads IP-verified AI crawler logs and links a crawl to a citation rate per page. Visitor analytics counts AI-referred visits and conversions through a lightweight script, a GTM template or the WordPress plugin. The 360 Insights view joins crawler logs, citation clicks and AI-referred visits per page, which is close to the single slide leadership wants.
For the leadership pack itself, custom reports and Looker Studio (Data Studio) connector start on Professional at $245 a month, and scheduled PDF reports go to whoever asks. Crawler logs also start on Professional, not on Essential at $95. If you only need prompt tracking to start, Essential gets you 50 prompts, visitor events and site audits, and you can move up when the crawler question comes up.
Published case studies show what the end of the chain can look like, attributed to the customers who ran them. Crisp reported that AI-referred traffic converted at twice the rate of traditional channels. TreeHouse reported AI search reaching about a quarter of organic conversions after fixing crawler access. Those are their results, not a promise for your site.
Who should pick which
Pick Promptwatch if you have to show traffic and conversions, or if you suspect crawler problems. Pick AthenaHQ if your team wants an action queue and a GEO score and you are comfortable with credit-based pricing, which starts at $295 a month for 3,600 credits on Starter. Pick Scrunch AI if you want monitoring plus the AXP layer and four tracked LLMs on Core at $250 a month fits. Profound makes sense for large enterprises that want marketing agents across channels and accept enterprise pricing, around $40k a year per the existing catalog entry.
What no tool can promise
No tracker can guarantee that an AI engine will recommend you. It can show whether you are visible, why, and what changed after you acted. Sell the budget on measurement and a clear action list, not on a guaranteed result.
A one-page template
Open with one line: visibility on the fixed panel, versus last quarter. Follow with the three biggest citation gaps. Then crawler errors fixed or outstanding. Close with AI-referred sessions and conversions, plus the next quarter's three actions and what each costs. If one page cannot hold it, the setup is measuring too much and explaining too little.
