PDF reports vs Looker Studio vs Scheduled Chats for AI visibility reporting

Three ways to get AI visibility numbers to stakeholders every week. A comparison of scheduled PDF reports, the Looker Studio connector and Scheduled Chats in Promptwatch, with a verdict.

Quick verdict

Pick by who reads the report. People who want a finished page in their inbox need a scheduled PDF. People who already live in a BI tool and want to blend AI data with other sources need the Looker Studio connector. People who want a written summary of what changed, rather than a set of charts, need Scheduled Chats. Promptwatch offers all three, and most teams end up with two: a PDF for the stakeholders and a chat for themselves.

The reporting problem

Weekly reporting on AI visibility goes wrong in a predictable way. Someone exports screenshots on Monday morning, pastes them into slides, and writes a paragraph from memory. It takes hours. Numbers drift because nobody remembers which filter was on. When that person is away, the report stops.

Fixing it means choosing a format, freezing the definitions behind it, and letting the tool send it. The first decision is the format, which depends on the audience. Our guide to Brand Book and Scheduled Chats for weekly AI reporting covers the definitions side, so here we stay on formats.

Option 1: scheduled PDF reports

The changelog records that scheduled PDF exports became available to all customers, and that on 2 October 2026 custom dashboards could be exported and scheduled as PDF reports (changelog). The report contains the widgets you put on the dashboard, in the same order, titled with the dashboard's name. A schedule follows its dashboard, so changing the widgets or renaming it is reflected in the next report. Team dashboards can be scheduled to anyone with access to the project, and personal dashboards to their owner only. The email links to the live dashboard so the reader can keep exploring. Deleting a dashboard stops its schedules.

You can also start a custom dashboard from one of four templates: competitor comparison, topic gaps, AI model breakdown and citations. Agent Chat can build one from a request. A persona radar is available as a widget and in PDF reports, and a Top LinkedIn Posts widget shows the LinkedIn posts AI models cite most. White-label organizations can export and schedule PDFs with their own branding. The sources we hold do not name a plan for white-label, so we name none.

Best for: executives, clients and anyone who reads on a phone and does not log in.

Option 2: Looker Studio

Promptwatch lists a Looker Studio (Data Studio) connector. On brand plans, the fact sheet places custom reports and Data Studio from Professional ($245 a month) upward. On agency plans, the connector is included on every plan. The REST v2 API and MCP server accept date ranges up to 92 days, per the October changelog, so a full three-month window from Looker or another BI tool is no longer rejected.

Strengths: blend AI visibility with ad spend, Search Console or revenue, and build views of your own. Weakness: someone has to build and maintain the report, and a change in the underlying data model is your problem.

Best for: analysts, agencies with their own reporting stack, and teams that need to join AI data to other sources.

Option 3: Scheduled Chats

Agent Chat is a conversational analyst over live data. It runs multi-step workflows, renders charts, builds and edits dashboards, and generates PDF reports. Scheduled Chats run a saved prompt on a schedule and deliver the result in-app or in Slack. Agent Skills such as a 7-day GEO briefing or a competitor gap analysis give you ready-made prompts. We hold no plan for Scheduled Chats beyond the general plan matrix, so we name none.

Slack briefings are not available on white-label workspaces, per the fact sheet.

Strengths: you get words, not just charts, such as what moved, what changed and what to look at next. Weakness: a written summary is a reading of the data, and you should treat it as a draft until a person has checked it against the dashboard.

Best for: the person who owns the metric and wants a Monday briefing, and teams that live in Slack.

How other tools handle reporting

Our catalog has little detail on scheduling or BI connectors. The one concrete data point is LLM Pulse, whose entry lists a Looker Studio connector from its Scale plan. Our wider roundups of tools for SEO and GEO reporting in one dashboard and AI visibility reporting tools for client reporting cover those in more depth.

A sensible setup

  1. One dashboard per audience. Executives get five widgets. The team gets more.
  2. Schedule the PDF for the stakeholders. Weekly for a campaign, monthly otherwise.
  3. Keep one chat for yourself. A Monday briefing that tells you where to look.
  4. Only add Looker Studio if you really need to blend other data. It is the most flexible of the three and the one that needs the most upkeep.
  5. Write down the definitions. Whatever the format, a report with changing definitions is worse than no report.

A caution on the generated briefing: read it before you forward it. The chat answers from the data on screen, but a summary can overstate a small movement. If a number matters, check the widget.

Who should pick which

  • Scheduled PDF for clients, executives and anyone who wants the same page every week.
  • Looker Studio for analysts and agencies with an existing BI stack.
  • Scheduled Chats for the metric owner, and for teams that work in Slack.
  • PDF plus chat is the combination we would try first. It covers the audience that reads and the person who acts.

Bottom line

The best format is the one people open. Start with the scheduled PDF, because it requires only a dashboard and a schedule. Add a chat for yourself, and bring in Looker Studio only when the blending is worth the upkeep. Among the tools we compared, Promptwatch is the one that documents all three formats, so it is the one to evaluate first.
